Personal Data of Hirers   

Old Sodbury Village Hall requires all persons wanting to hire the hall to complete a Hire Agreement Booking Form and return it by email or post. 

This contains some or all of the following personal details in hard copy and/or electronic format:- 

• Name of hirer 

• Address 

• Landline telephone number 

• Mobile telephone number 

• Email 

The Booking Form is a contractual agreement and the information we keep is provided exclusively by the hirers with their consent. The information is held by the Village Hall Administrator and contact details are used solely to facilitate the planned hire. Personal information will never be given to third parties without the express permission of the individual making the booking. Hirer information is held indefinitely for reference purposes such as repeat hires. Hirer’s may request that some or all of their personal details be amended or deleted from the records held and this will be done as soon as it is practical.   

Personal Data of the Committee   

The Village Hall is run by a Management Committee and a contact list of current committee members is kept and issued by email to all members to facilitate communication. Committee members have given their consent for this information to be kept. This list contains some or all of the following information:- 

• Landline telephone number 

• Mobile telephone number 

• Email 

• Home Address  

Information Commissioner’s Office (ICO)   

Old Sodbury Village Hall is exempt from registration with the ICO as it is a ‘not for profit’ organisation. Our activities are also such that we are not required to appoint a Data Protection Officer (DPO). Anyone who believes that there has been a breach of data security can report this to the ICO.
